Specialist Clinical Pathway Management

Structured data capture, patient tracking and audit reporting for specialist NHS departments — configured around your clinical workflow, not a generic EPR template.

Specialist Departments Don't Fit the EPR Mould

NHS trust EPRs are built for breadth. They manage appointments, demographics, letters, and results adequately — but they are not built for the deep, procedure-specific data capture that specialist clinical units require.

A colposcopy unit needs to capture transformation zone type, colposcopic impression, biopsy site, treatment modality, and histology outcome — in a structured, auditable form, every time. A fracture liaison service needs to systematically record DXA results, FRAX scores, and treatment decisions against NHFD standards. A pre-assessment clinic needs procedure-specific questionnaires and risk stratification at every visit.

None of these are well-served by a generic EPR module. The result is familiar: bespoke Access databases, Excel trackers, paper forms, and manual audit extract processes — all maintained alongside the main EPR rather than integrated with it.

ProtoFlex solves this in the same way it addresses the EPR gap for rare conditions: rapid configuration of a specialist clinical system around your pathway, your data items, and your audit requirements.

Structured specialist data capture

Configurable clinical forms built around the specific fields your department records — not generic free text

Patient pathway tracking

Visibility of every patient's position in the pathway — referral, appointment, result, treatment, follow-up — at a glance

Audit-ready data from day one

National audit fields (BSCCP, NHFD, and others) built into the clinical workflow — no separate extraction or manual mapping

Overdue patient alerts

Automated alerts for patients who are overdue for follow-up, lost to follow-up, or whose results require action

Colposcopy Patient Management

Colposcopy services are a strong example of exactly the kind of specialist pathway ProtoFlex is well-suited to support — high volume, highly structured, with significant audit and surveillance requirements that generic EPRs handle poorly.

The Colposcopy Pathway

Colposcopy services manage patients referred through the NHS Cervical Screening Programme following abnormal cytology. The pathway spans referral receipt, initial colposcopy appointment, biopsy, histology result, treatment decision (which may include LLETZ, laser ablation, or active surveillance), and post-treatment follow-up — often over several years for higher-grade disease. Each stage requires specific data capture, and national BSCCP audit standards require systematic recording across every episode. Most units are currently managing this with a legacy bespoke system, a local Access database, or a combination of paper and spreadsheet processes.

Consultation Data Capture

Configurable clinical forms capturing the specific data items required at each colposcopy consultation — structured, not free text.

Transformation zone type (1, 2, 3)
Colposcopic impression and adequacy
Biopsy taken, site, and number
Treatment modality and excision margins
Histology outcome and CIN/CGIN grade
Follow-up interval and discharge decision

Pathway Management & Audit

End-to-end visibility of patients in the colposcopy pathway — and audit data capture aligned to BSCCP standards as part of routine clinical workflow.

Patient status across all pathway stages
BSCCP audit field capture in clinical workflow
Post-treatment follow-up scheduling and tracking
Overdue and lost-to-follow-up alerts
Configurable to local follow-up protocol variations
Service-level reporting for clinical governance

Colposcopy is one example of a much broader pattern. Any specialist department that currently relies on a bespoke local system, a spreadsheet, or a paper-based process — because their EPR doesn't go deep enough — is a candidate for a ProtoFlex configuration. The platform is the same; only the clinical model changes.

Other Pathways We Can Support

Colposcopy is one example. The same configurable approach applies to a wide range of specialist NHS departments and clinical programmes — anywhere structured data capture, patient tracking, and audit reporting are needed but not well-served by the trust EPR.

Fracture Liaison Services

Secondary fracture prevention with structured DXA, FRAX, and treatment decision capture. NHFD audit data collected as part of clinical workflow — no separate export process.

Pre-operative Assessment

Procedure-specific questionnaires, ASA grading, risk stratification, and pre-op checklist completion — structured and trackable across a high-volume patient list.

Urogynaecology & Urodynamics

Specialist data capture for urodynamic investigations, symptom scoring, and conservative management programmes — with outcome tracking over a treatment course.

Rapid Access Clinics

High-throughput specialist clinics — rapid access chest pain, TIA, one-stop breast — where structured triage data, investigation tracking, and outcome capture matter but don't fit standard EPR workflows.

Surveillance Programmes

Ongoing clinical surveillance outside standard EPR review workflows — hepatocellular carcinoma surveillance, Barrett's oesophagus monitoring, familial cancer follow-up, and similar structured programmes.

Your Specialist Department

If your team is currently managing patients with a spreadsheet, a local database, or paper forms because your EPR doesn't go deep enough — we'd like to understand your pathway. Get in touch.

Configured for Your Pathway in Weeks, Not Years

ProtoFlex is a configurable clinical platform, not a fixed product. We work with your clinical team to map your specific data items, workflow stages, and audit requirements into the platform — typically reaching a working pilot in under 12 weeks. There is no need to wait for an EPR module that may never arrive.

Configurable, not coded

Clinical forms and pathway stages are configured through our tooling, not written as bespoke software — so changes are fast and clinician-driven.

EPR-adjacent, not a replacement

ProtoFlex sits alongside your EPR — connected to it where needed via NHS integration standards — rather than replacing it.

Partnership-led delivery

We work closely with clinical leads and service managers to understand the pathway before building anything — so the system reflects how your service actually works.
