Configured Around You
We don't hand you a system and expect your team to adapt to it. ProtoFlex is built to be configured around your existing processes — and where change genuinely makes sense, we can help with that too. Every engagement is led by an experienced design consultant who stays with you from scoping through to go-live.

A Typical Engagement
Discovery
Your team talks to ours. We want to understand your pathway, your patient population, your existing systems, and what's not working today. There's no sales script — just a structured conversation to establish whether ProtoFlex is the right fit and what a solution would look like.
Outline Plan & Design Consultant Allocation
Once we agree to move forward, we produce an outline project plan and allocate a dedicated design consultant to your project. This person is your main point of contact throughout — they own the configuration, understand your requirements in detail, and are accountable for getting the design right.
Three-Phase Design Review
Configuration goes through a proven three-phase review process that keeps your clinical and operational team involved at every stage — not just at the end. This is how we catch mismatches early and ensure the solution genuinely reflects your local requirements before a single patient record is in the system.
Testing & Sign-off
Your team tests the configured solution against real scenarios from your pathway. We work alongside you throughout, addressing issues as they arise. Nothing moves to production until you are satisfied and have formally signed off the design.
Go Live & Handover to Support
We manage the transition to production and hand the running system over to our support team, who take on day-to-day operational responsibility. The handover is structured — your design consultant briefs the support team directly so nothing is lost in translation.
Ongoing Refinement
After go-live, your team can return to the design team at any time to discuss improvements, new requirements, or refinements as your pathway evolves. We stay engaged because a system that keeps up with your service is one that keeps delivering value.

Every project has a named design consultant who owns the relationship and the configuration. You speak to someone who knows your system, not a support desk that needs the context every time.
Relationships Built on Results
If something isn't right, we fix it — and in most cases that means reconfiguring the platform rather than waiting for a development cycle. Workflows, rules, and pathway logic are all configuration, not code, so changes can be made quickly as your service evolves.
Flexible Deployment
We host securely on Azure UK infrastructure as standard. Where local policy or information governance requirements demand it, we can work with your IT team to deploy within your own data centre instead.
Integration Support
Interface work with EPRs, lab systems, and third-party suppliers is a normal part of a ProtoFlex deployment. Our team is ready to join conversations with your internal IT and external suppliers at every step — you don't manage that bridge alone.
Change Management
When a new system does require process change, we can support your team through it. The goal is always adoption, not just installation — a configured system that clinical staff don't use has no value.
